Personal data that we process

The Joomla Netherlands Foundation processes your personal data when you register as a speaker, buy a ticket or register for the newsletter. Below you will find an overview of the personal data we process:

  • First and last name
  • Address data
  • phone number
  • E-mail address
  • Bank account

Special and/or sensitive personal data that we process

It is not our intention to collect data about website visitors under the age of 16. Unless they have parental or guardian consent. However, we cannot check whether a visitor is older than 16. We do not collect data about political affiliation, religion, medical information or other sensitive personal data.

For what purpose and on what basis do we process personal data

Necessity & legal obligation

We collect a large portion of the personal data that we collect because it is necessary to provide our services. We also need it to comply with our legal obligations, particularly under tax law. This concerns:

  • First and last name (we need to know who we are doing business with)
  • Address (we need to know where your company is located in order to send the invoice)
  • Phone number (we would like to be able to call you if we have questions or need to speak to you urgently)
  • E-mail address (we want to keep in touch with you about our services by e-mail)
  • Bank account (we need to know from which account number the payment was made)

Permission

In addition, we collect personal data because we would like to send informative newsletters. We will only do this if you subscribe yourself. We hereby collect:

  • E-mail address (otherwise we cannot send an e-mail)
  • Optionally your first and last name, but only if you fill it in yourself (we use this to personalize the newsletter)

How long we keep personal data

We do not store your personal data longer than is strictly necessary to achieve the purposes for which your data is collected, or beyond the legal retention period. We use the following retention periods for the following (categories) of personal data:

  • Name and address details > 7 years after the end of the customer relationship > This is the legal retention period for the administration
  • Telephone number > 7 years after the end of the customer relationship > This is the legal retention period for the administration
  • E-mail address that is given within the customer relationship > 7 years after the end of the customer relationship > this is the legal payment term for the administration.
  • E-mail address given for sending the newsletter > Until the consent is withdrawn.

Automated decision making

We never make decisions based on automated processing on matters that can have (significant) consequences for people. These are decisions taken by computer programs or systems, without involving a person (for example, an employee of Stichting Joomla Nederland).

Sharing personal data with third parties

Of course we do not sell your data to third parties and we will only provide it if this is necessary for the execution of our agreement with you or to comply with a legal obligation. We conclude a processing agreement with companies that process your data on our behalf (accountant, host party) to ensure the same level of security and confidentiality of your data.
